Summary of Essential Functions, Duties & Responsibilities
The Executive Assistant, External Affairs will provide highly confidential, high level and key administrative support to the Executive Vice President, External Affairs. 
Manages and coordinates the office of the Executive Vice President, External Affairs
•           Serve as key point of contact for Executive Vice President and EVP direct reports
•           Provide executive administrative support for the Executive Vice President including but not limited to making detailed travel arrangements, arranging multiple schedules, conference calls and assuring that correspondence and phone calls receive a timely response
•           Provide staff support for Executive Vice President and Vice Presidents of Development, Communications, Marketing and Public Policy on organizational assignments such as preparation for board meetings, national conference, trainings and other presentations.
•           Create and manage department files of correspondence, records, minutes, strategic planning, budget and financial documents, devise systems making information easy to access
•           Provides customer service to local offices by locating appropriate resources to ensure affiliate needs are met
Manages and coordinates the department software and databases
•           Coordinate with Finance department to ensure accurate accounting and tracking of financial records
•           Manage purchases, expenses and financial transactions of the external affairs department
•           Serve as project manager for the development and timely submission of yearly department budget
•           Purchase materials, books, periodicals and supplies for the external affairs department
•           Conduct research as requested
 
Prepare for National Board, conferences, the National Conference and other meetings as necessary.  Duties may include but not limited to:
•           Compile meeting material handouts, PowerPoint, and overheads
•           Serves as recording secretary for some meetings and record minutes
•           Arranges department meeting logistics including schedules, meals and transportation
•           Provide follow-up information or materials
 
Knowledge, Skills and Abilities
•           An Associate/Bachelor’s degree or equivalent is desirable
•           Five years’ clerical/administrative experience, preferably with two years in an executive office environment
•           Ability to handle confidential materials and information
•           Must be organized
•           Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Access, Publisher and Visio), with strong problem-solving skills
•           Proficient across social media platforms (Twitter, LinkedIn, YouTube, Facebook, etc.)
•           Advanced PowerPoint skills that include videos and interactive materials
•           Must be customer-oriented and have proven experience with high level relationships
•           Must have organizational and project management skills as well as excellent verbal and written communication skills
•           Sound decision-making ability and judgment
•           Must be detail oriented, customer focused, and able to work independently
•           Sense of humor needed
•           Ability to work flexible hours; ability to travel is required
